T4s / T4As / RL-1s - How to Amend T4's and T4A's

This article only applies to Canadian Harmony customers.

NOTE: This article will focus on creating T4s, but the same process can be followed for your T4As.

NOTE: You MUST have created and submitted T4's or T4A's already and the CRA has requested an amendment. Do NOT make amendments without the CRA's request. 

Prerequisites:

  • Payroll categories are assigned to the correct tax form box (navigate to Payroll > Payroll Setup > Assign Tax Form Boxes)
  • The last pages of your Employee Year-to-Date Journal and Employee History Journal match up (note: be sure to look at the History Journal by cheque date!)
  • IF EMAILING TAX FORMS:
    • Employees have a "Work Email" defined (navigate to Configuration > Employee > Employees) 
    • Email settings are properly set up (navigate to Configuration > Setup > Email Settings) and a test email was successfully sent and received 
    • Employees have "Receive tax slips by email" toggled on in their profile (navigate to Payroll > Payroll Employees > Employee List)
    • Employees have a password in their profile to access tax slips (navigate to Payroll > Payroll Employees > Employee List

Creating and Editing The Amended T4s and T4 Summary

  1. Navigate to Payroll > Forms > T4 > Create T4. 
  2. Select the EI group. If you have multiple EI groups, you have to create T4s separately for each of those EI groups. Change the submission number to the next number (Example: If first submission was 1, change to 2).
  3. Select the employees that require an amended T4 to create.
  4. Click the "Create" button. 
  5. Click on the document icon next to the employee's name to view and edit their T4 supplementary. Click the "+ Other" button to add additional boxes to the employee's T4.

  6. After all your employees' T4s are saved, return to the Create T4 page and on the right side you will see your T4 summary. Click the "Edit" button if you need to make changes to your T4 summary. 
    NOTE: It is your responsibility to enter the amount of the company remittances into box 82. This value should be obtained from your accounting software. 
    1. Be sure to double-check your company information in the Summary, as you will not be able to print/export your T4 summary if there are fields missing. 
    2. The summary is also where you can enter your "SIN of the proprietor(s)" and "Certification Date" if required.

Printing / Emailing Amended T4 Slips

  1. Navigate to Payroll > Forms > T4 > Print/Email T4. 
  2. Select the correct EI group and enter the correct submission number - this should be the same submission number that you entered when creating the amended T4s.
  3. Select the copy you want to print (CRA copy, recipient copy, employer copy).
  4. Check off the employees that you want to print/email their T4s. You can also use the toggle for "All" to select all employees. To print, go to step 5. To email, go to step 6.
  5. To print the T4 slips, click the print icon. Your browser's print dialogue system window will appear and you can make changes to the printer if needed.
  6. To email the T4 slips, click the email icon. Your T4s will automatically be sent to the employee's work email address. 

Printing the Amended T4 Summary

  1. Navigate to Payroll > Forms > T4 > Print/Email T4. 
  2. Select the correct EI group and enter the correct submission number - this should be the same submission number that you entered when creating the amended T4s.
  3. Select the Summary tab on the right side.
  4. Check off whether you want to print your business number and/or  your employer name and address.
  5. Click the print icon. Your browser's print dialogue system window will appear and you can make changes to the printer if needed. 

Printing the Audit Reports

  1. Navigate to Payroll > Forms > T4 > Print/Email T4. 
  2. Select the Audit tab on the right side. 
  3. Select the one of the report types. 
  4. Click the print icon. Your browser's print dialogue system window will appear and you can make changes to the printer if needed. 

Exporting T4s Into .XML

  1. Navigate to Payroll > Forms > T4 > Export T4 (XML).
  2. Select your EI group and enter all fields. For "Transmitter Number", enter "MM000000" or "MM999999". 
  3. Ensure that your "Submission Number" matches the submission number that you entered earlier when creating the amended T4. This will act as a filter when you load your T4s in Harmony. 
  4. Make sure to select 'Amended' for "Report Type Code". This will act as a filter when you load your T4s in Harmony.
  5. Click the "Load T4s" button. Your employees whom you've created amended T4 slips for will appear at the bottom. 
  6. Click the "Create XML" button. This XML file will be downloaded to your browser's default downloads folder, so be sure that you know where that is. 

E-Filing / Submitting Amended T4s to CRA

CRA requires companies with more than 50 employees to file T4s online. You should have received your Account Number and Web Access Code from the CRA by mail. If you haven’t received your access information, please contact the CRA.

  1. Go to this page (CRA Internet File Transfer): https://apps.cra-arc.gc.ca/ebci/leb0/upload/pub/disclaimer.action?request_locale=en
  2. Read through the disclaimer and click on "I agree" at the bottom of the page.
  3. Type in your "Account Number" and "Web Access Code" provided to you by CRA. Do not enter anything under Transmittal number if you have keyed in an "Account Number".
  4. Click on "Continue to Step Two".
  5. Click on "Browse" and navigate to the folder that your XML file is in. Select the file created from Harmony (the XML file). 
  6. Click on "Submit".
  7. Print this confirmation page for your reference.
  8. Repeat this process for every business or company that you do payroll for. Each company will have their own unique Account Number and Web Access Code.

NOTE: For your RL-1s, you must submit these to Revenu Québec: https://www.services.mrq.gouv.qc.ca/AccesEntrpr/s3/s303/S303A01_01A_PIU_TransmRelev_PC/PageDeGarde.aspx?CLNG=A. You will need your Transmitter Number and Identification Number.
