Email T4's to Employees

Step 5: Email T4's to employees.

 

Pre-requisites:

The employees must be setup to receive payslips by email as this will record their email address within the e-delivery module. Follow these steps to have the emails setup for employees:

  1. Go to Setup > Employees.
  2. Double-click an employee.
  3. Go to the Miscellaneous tab.
  4. Check the box beside Receive Payslips by Email.
  5. Enter their email address and password (which will be set by yourself and provided to employees).
  6. Click Save to confirm changes.

 

Generating the PDF:

Steps:

  1. Go to Forms > T4s > Print
  2. Select ‘Supplementary’ under Select the form to be printed:
  3. Select ‘Recipient Copies’ under Print and click on the ‘Generate PDF’ button

 

Emailing the PDF:

The next step involves emailing the T4s to employees. You must verify that the T4s have been created prior to delivering the files.

  1. Go to Utilities > eDelivery
  2. On the Delivery Type tab select the email connection method and the Generated T4s radio button under Select Source of PDF files
  3. Click Next to go to the E-Mail Settings tab
  4. Enter the credentials for your email server such as hostname, server port, mail server username and password
  5. Provide a subject and body relating to the T4s
  6. Click on Send a test email to confirm the connection gets established
  7. Proceed to step 8 if you receive the following message: "Process ended gracefully."
  8. Click Save Settings and click on Next
  9. Select the list of employees you wish to send the T4s to
  10. Click Send Emails
  11. The Status tab will display the results of the procedure
  12. Click Next to go to the Delivery Report, you can print and preview this for your records
  13. Click Exit
  14. Go to utilities → backup company data ( After print /Email of T4s)

 

Note: If you encounter any issues during the emailing process please ensure you have done the following:

  1. Verify the employee’s correct email address has been entered.
  2. Prompt employee to double-check their junk or spam folder.
  3. Confirm that the connection was established when sending a test email.
