Description: This article will focus on creating T4s, but the same process can be followed for your T4As and RL-1s.
Prerequisites:
- Payroll categories are assigned to the correct tax form box (navigate to Payroll > Payroll Setup > Assign Tax Form Boxes)
- The last pages of your Employee Year-to-Date Journal and Employee History Journal match up (note: be sure to look at the History Journal by cheque date!)
- IF EMAILING TAX FORMS:
- Employees have a "Work Email" defined (navigate to Configuration > Employee > Employees)
- Employees have "Receive tax slips by email" toggled on in their profile (navigate to Payroll > Payroll Employees > Employee List)
- Employees have a password in their profile to access tax slips (navigate to Payroll > Payroll Employees > Employee List)
Creating and Editing T4s and T4 Summary
- Navigate to Payroll > Forms > T4 > Create T4.
- Select the EI group. If you have multiple EI groups, you have to create T4s separately for each of those EI groups.
- Enter your submission number. If this is your first time submitting T4s this year, your submission number will be "1". If you have already submitted your T4s to the CRA, you must increase this submission number.
- Select the employees to create your T4s.
- Click the "Create" button.
- Click on the document icon next to the employee's name to view and edit their T4 supplementary. Click the "+ Other" button to add additional boxes to the employee's T4.
- After all your employees' T4s are saved, return to the Create T4 page and on the right side you will see your T4 summary. Click the "Edit" button if you need to make changes to your T4 summary.
NOTE: It is your responsibility to enter the amount of the company remittances into box 82. This value should be obtained from your accounting software.
- Be sure to double-check your company information in the Summary, as you will not be able to print/export your T4 summary if there are fields missing.
- The summary is also where you can enter your "SIN of the proprietor(s)" and "Certification Date" if required.
